Managing Workspaces and Teams

In Optibase, a Workspace is a dedicated, isolated environment for your optimization projects. Each workspace maintains its own unique set of experiments, conversion goals, team members, and subscription plans.

This structure is ideal for agencies managing multiple clients or companies running separate tests across Webflow and WordPress environments.

1. Creating and Navigating Workspaces

How to Add a New Workspace

  1. Click the Workspace Dropdown menu in the top-left corner of the Optibase dashboard.

  2. Select "Add new Workspace +".

  3. Enter a descriptive name for your project or client.

  4. Instant Setup: Your new workspace is created immediately on the Free plan, which includes a default monthly tested user limit (typically 10,000 users).

Switching Between Environments

To change projects, open the workspace dropdown and select the desired name. The dashboard will instantly display the membership roles, active plans, and usage stats for that specific environment.

2. Team Collaboration (Unlimited Members)

Optibase is built for teamwork. Unlike many CRO platforms, we do not charge for additional seats. You can collaborate with your entire team or invite clients at no extra cost.

How to Invite Members

  1. Click the Gear Icon (Settings) next to your workspace name.

  2. Navigate to the Members section.

  3. Enter the email address of your teammate or client.

  4. Assign a Role:

    • Owner: Full control over settings, billing, and member management.

    • Editor: Can create and launch tests but cannot manage billing.

    • Viewer: Read-only access to view reports and analytics.

  5. Click Invite. Once they accept, they will have access to all experiments within that specific workspace.

3. Pricing and Workspace-Based Billing

To provide maximum flexibility for agencies and enterprises, Optibase uses a Workspace-Based Billing model.

  • Isolated Subscriptions: Each workspace has its own independent plan and usage limits. This allows you to bill individual clients or departments directly.

  • Owner Accountability: Only the Workspace Owner is responsible for the subscription and billing details.

  • No "Per-Seat" Fees: You can invite an unlimited number of members to any workspace without increasing your monthly cost.

  • Scalability: You can upgrade or downgrade individual workspaces at any time via the Billing tab in settings based on the traffic needs of that specific project.

4. Platform-Specific Setup Note

Every workspace generates a unique Custom Script. If you are running tests on both Webflow and WordPress for the same brand, you can use the same workspace script. However, if you are managing two different clients, you must create two separate workspaces to ensure their data and tracking remain completely isolated.
